This policy explains how Kanova ("Kanova", "we", "us") handles information collected through kanovai.com.au (the "website"). It is written in plain language and describes our actual practices as implemented on this website.

Who we are

Kanova is a Melbourne-based automation studio that designs and builds AI voice agents and connected business automation systems for service businesses. This policy covers the website only, not the internal systems we build for individual clients, which are governed separately by each client's own agreement.

Information we collect from the contact form

When you submit our contact form, we collect the information you provide: your name, business name, work email address, and — if you choose to provide them — phone number, a preferred day to be contacted, and a description of what you'd like to automate.

Technical information collected automatically

Like most websites, our hosting and delivery providers automatically process limited technical data as part of serving the page — for example IP address, browser type, and request timestamps captured in standard server logs. We do not currently run any analytics or tracking software on this website, so we do not collect browsing behaviour, page views, or similar usage data beyond what our hosting provider retains for operational and security purposes.

Why we collect this information

We collect enquiry information to respond to your request, assess whether Kanova is a good fit for your business, and follow up about a possible automation project. We do not use form submissions for anything beyond this purpose.

How we may contact you

By submitting the form, you agree that Kanova may contact you about your enquiry using the details you provided — typically by email or phone. We do not automatically add you to any ongoing marketing list. If we ever wanted to contact you for a separate purpose, we would ask first.

Overseas processing

Your enquiry data is stored in a database hosted in Australia. However, some of the infrastructure providers above — including our hosting provider's global network, Google Fonts, Resend and Twilio — operate internationally, which means parts of the technical delivery of this website and its notifications may pass through servers located outside Australia.

Security

We take reasonable steps to protect the information submitted through this website, including restricting database access with row-level security rules so that submitted data cannot be read back through the public website. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Retention

We retain contact form submissions for as long as reasonably necessary to respond to your enquiry and maintain our own business records, after which we aim to delete or de-identify the information.

Access, correction and deletion requests

You can ask us what information we hold about you, request a correction, or request deletion at any time by emailing hello@kanovai.com.au. We will respond to reasonable requests within a reasonable timeframe.

Complaints

If you have a concern about how we've handled your information, please contact us first at hello@kanovai.com.au so we can try to resolve it directly. Australian residents also have the right to contact the Office of the Australian Information Commissioner (OAIC) if a concern remains unresolved.
