◆  What we automate

The repetitive work between an enquiry and a finished job.

Every business operates differently. We identify the calls, handovers, data entry and follow-ups slowing the team down, then build a connected system around the tools already in use.

◆  What we build

Three systems that quietly handle the work your team should not have to repeat.

01

AI Voice Agents

AI agents that can answer calls, handle common questions, qualify enquiries, manage approved booking actions and collect relevant customer information. They can also support reminders, follow-ups and structured handover to a team member.

Reception · Booking · Follow-up
02

Business Process Automation

Connected workflows that move information between the systems a business already uses — reducing repeated data entry, delayed follow-up and manual handover between calls, forms, calendars, CRMs and internal tools.

Integrate · Sync · Automate
03

Custom Operations Automation

Purpose-built systems for repetitive operational work such as customer intake, lead routing, quote follow-up, document creation, invoicing triggers, internal notifications, reporting and exception management.

Intake · Routing · Reporting

◆  Example systems

Not one product. Systems built around how the business operates.

These internal examples show how voice, workflow automation and existing business tools can work together. They are demonstrations, not client case studies.

Internal demonstrations — not client case studies
EXAMPLE 01

AI Reception and Booking

Inbound call → Enquiry understood → Availability checked → Booking action verified → Calendar or CRM updated → Team alerted when human help is needed
If the result is missing, ambiguous or unsuccessful: stop the action → preserve existing state → alert a person.
EXAMPLE 02

Lead-to-Quote Workflow

Website enquiry → Lead qualified → CRM record created → Correct staff member notified → Quote task generated → Follow-up scheduled → Outcome recorded
If the result is missing, ambiguous or unsuccessful: stop the action → preserve existing state → alert a person.
EXAMPLE 03

Back-Office Operations

Job completed → Records updated → Invoice workflow triggered → Customer update prepared → Outstanding action monitored → Exception escalated to the team
If the result is missing, ambiguous or unsuccessful: stop the action → preserve existing state → alert a person.
◆  Reliability

Automation should know when not to act.

Kanova systems are designed so important actions are only confirmed after the connected platform reports a verified result. When information is missing, ambiguous or unsuccessful, the workflow can stop, alert the team or hand the conversation over instead of inventing an outcome.

Verified Actions

Bookings, cancellations, reschedules and messages can be treated as complete only after a successful result is returned.

Duplicate Protection

Repeated events and retries can be checked to reduce accidental duplicate communications or booking actions.

Human Handoff

Escalation rules determine when a team member should take over.

Monitored & Reversible

Workflows can be monitored, backed up and rolled back as the business changes.

◆  How it works

Four steps. We build it, wire it in and stay.

01 / Audit

Find the bottlenecks

We review how calls, enquiries, bookings and admin currently move through the business and identify what should be automated first.

02 / Build

Design the system

We build the voice agent and workflows around the business's existing services, processes and customer experience — not a generic template.

03 / Integrate

Connect the tools

We connect the system to approved phone, calendar, CRM and business platforms, then test it against realistic scenarios before launch.

04 / Monitor

Improve over time

We review performance, fix verified issues, refine conversations and update the system as the business changes.

◆  About Kanova
We do not hand you a strategy deck. We build the system, connect it and stay until it works.

Kanova is a Melbourne-based automation studio run hands-on by its two founders. We build AI voice agents and connected operational systems for service businesses losing time to calls, enquiries, scheduling, follow-ups and repetitive administration.

Sometimes the right solution is a voice agent. Sometimes it is a workflow connecting a form, CRM, calendar, inbox and accounting platform. Often it is a combination of both.

We do not simply provide a strategy document and leave the client to implement it. We map the process, build the system, connect the approved tools, test important scenarios and continue supporting it after launch.

Clients do not need to understand the technical stack. They explain how their business operates, and Kanova designs the automation around it.

◆  FAQ

Questions,
answered plainly.

Most systems can be launched within around ten business days once we have access to the required information and platforms. A straightforward voice-reception setup may be faster, while automations involving several systems may take longer. After the initial audit, we provide a clear scope and delivery timeline.

In most cases, yes. We can often connect an AI agent to an existing business number or phone setup, allowing customers to continue calling the same number. We confirm compatibility during the audit before making any changes.

The agent follows escalation rules agreed with the business. Depending on the situation, it can transfer the caller where supported, take a message, collect the relevant details or alert a team member. The goal is to preserve context so the customer does not need to repeat everything.

Your data remains yours. We only access the information required to operate the agreed automation, and data may be processed through the phone, calendar, automation, AI and other platforms connected to the system. Before launch, we explain what information is accessed, which services process it, where it may be stored and how long it is retained.

Pricing generally includes a one-off build fee to design, integrate and launch the system, followed by a monthly fee for monitoring, support and improvements. Any expected software or usage costs are explained before you commit, so you receive a clear view of the estimated total cost.

No. Voice agents are one part of what we build. Kanova also creates connected automations for lead handling, customer intake, scheduling, follow-ups, CRM updates, document workflows, reporting and repetitive back-office processes. The system is scoped around where the business is losing the most time.

Disclosure and escalation rules are agreed with each client before launch. Where appropriate, an agent can identify itself as an automated or AI assistant and explain how the caller can reach a person.
